Receptionist Job Description
Essential Duties/Responsibilities
- Serve as primary operator for all incoming calls to the College with responsibility for monitoring and responding to all phone messages received during off-hours
- Serve as greeter and primary resource for information regarding the Executive and Administration offices
- Provide appropriate guidance and excellent customer friendly service to all staff, students, guests and visitors to the College via phone or in person
- Manage and perform all communications effectively and timely with staff, faculty, and students via phone or in person
- Maintain and oversee the physical environment of the reception area serving the Executive and Administration offices
- Maintain professional standards in all assignments
- Other related administrative duties as required
- Provide administrative support to the Office of Finance and Administration, including all related departments — IT, Finance, Business Operations - as needed, to include but not be limited to: copying, scanning, filing, event support and tracking items dropped off and picked up at the receptionist desk.
Specific Business Operations Responsibilities
- Answers Phones and transfer to departments
- Check VM for any overnight calls
- Code invoices
- Issue out Staff, Faculty, and student parking passes
- Issue out staff/faculty ID's
Education & Experience Required
- HS Diploma/GED required. Bachelor's degree preferred
- Minimum of three (3) years of office and clerical experience, preferably in an academic or institutional environment
- Demonstrated facility and skills with standards computer software packages and/or basic data management software
- Demonstrated customer service orientation and communication skills and the ability to work well as a team member
- Business writing skills preferred
Skills & Knowledge Required
- Proficient in Microsoft Office and Outlook
- Skilled in managing multiple tasks and responsibilities
- Excellent organizational and problem solving skills
- Effective contributor in a diverse environment
- Ability to follow the expectation of treating fellow employees, students and the institution's guests with civility, and to refrain from activities that disrupt the efficient functioning of the college
- Ability to follow directions and complete tasks accurately as well as accept supervisory input and constructive criticism
- Bilingual capability a plus; Spanish preferred
