Part-Time Administrative Assistant (California) - Job Description

Job Summary

Reporting to the regional center director, this administrative assistant position is a part-time position, providing administrative clerical and student support for the operation of the center. The position will be conducted temporarily as remote from home until May 2021 (or upon further notice). With the return to the office, administrative assistant will be responsible for opening and closing the college facility on a regular weekend schedule. Some evenings may be required. Must demonstrate and understand excellent interpersonal, problem solving, computer software/database, Microsoft Office, and clerical skills.

Essential Duties/Responsibilities

  • Open and close the campus facility
  • Excellent customer service skills
  • Effective oral and written communication with all personnel, community agencies and organizations, students, faculty, and all other constituents
  • Ability to work cooperatively and follow directions on any related assigned task
  • Maintain confidentiality
  • Ability to make decisions, prioritize tasks, complete multiple tasks thoroughly
  • Excellent clerical skills such as answering phones, filing, record keeping, computer skills, receptionist, data base entry, mailing, accuracy in following instructions
  • Excellent organizational skills, adaptable, flexible, innovative, initiative, dependable, and reliable
  • Maintain an orderly receptionist foyer, office work area, and supply rooms
  • Set up and organize classrooms for weekend courses, events and activities
  • Work cooperatively with enrollment staff to create admission folders, mail, file, admission documents as directed
  • Maintain inventory, and place orders for the office supplies and materials as directed
  • Conduct ethical and professional interaction with all students and the community, convey information accurately and responsibly, follow policies and procedures with integrity to uphold our institutional values
  • Other related duties as assigned

Other Duties/Responsibilities

  • Occasional specific related projects/tasks are to be completed during working hours as assigned
  • Attend campus events.

Education & Experience Required

Associate’s Degree is required; Bachelor’s Degree is preferred

Skills & Knowledge Required 

  • Must be able to read, write, and speak proper English
  • Type and use Microsoft Office Word, Excel, and Outlook Express
  • Operate the fax, printer, and copy machines
  • Communicate clearly and efficiently to staff, faculty, administrators, students and visitors
  • Create and maintain files and print labels
  • Ability to multitask
  • Ability to work independently and take initiative on completing day to day tasks

Physical Effort Required

Ability to lift and move chairs, tables, and filling boxes up to 50 pounds
