Human Resources Assistant

Job Summary

Reporting to the Human Resources Manager, this position provides high-level administrative and clerical support to the Vice President of Human Resources, HR office, and employees of Cambridge College.  The emphasis of this position is on ADP Workforce Now HR Profile database management and report writing, the maintenance of employee files and office records, and the management of all associated document flow for the office, e.g. new hires/ onboarding, change in status, employee exits/offboarding, unemployment, employment verifications, recruitment, etc. The ideal candidate must be experienced at managing confidential and highly sensitive information.

Essential Duties/Responsibilities

  • Provide administrative support to HR team as it relates to employee status changes, exits, reporting, and employee relations.
  • Respond to employee and manager questions on policies and HR practices and resolution of workplace concerns.
  • Responsible for maintaining the accuracy of the ADP Workforce Now database.
  • Maintains highly confidential personnel files and office records.
  • Collaborates with payroll on a regular basis to ensure payroll documentation is accurate, timely, and complete.
  • Prepares offer and termination letters.
  • Responsible for the timely handling of unemployment documentation and reporting.
  • Responsible for managing administrative recruitment process, including postings of positions, announcements, and the electronic job application process.
  • Creates and distributes HR newsletters and email communications.
  • Responds to employee verifications.
  • Responds to general human resources operations questions.
  • Handles the College T-Pass Program service.
  • Assists in processing invoices for the department and reconciles the benefits statements.
  • Assists with data requests and research for reports and surveys, such as IPEDS, CUPA, etc.
  • Assists with audit requests for records.
  • Updates and assists with ADP Self-Service module.

Other Duties/Responsibilities

  • Assists in conducting new hire orientations and onboarding procedures, as well as exit interview procedures.
  • Assists with updating and maintaining information for HR public folders and web content for HR intranet.
  • Produces assigned documents, reports, charts, graphs, etc.
  • Composes and proofreads office correspondence, e.g. letters of offer, memos, announcements, etc.; receives and distributes mail.
  • Oversees the proper functioning of office equipment, i.e. copier, printers, fax, computers, phones, and handles service requests.
  • Maintains inventory of office supplies and standard forms; purchases supplies.
  • Schedules meetings, workshops, trainings/handle enrollments, conferences, etc.
  • Supports and/or responsible for special events/activities, e.g. Benefits' Fairs, and may be asked to participate on College committees, e.g. graduation planning and support.
  • Other duties, projects, or special assignments as directed.

Education & Experience Required

Bachelor’s degree desirable; Minimum of 1 year of directly related Human Resources experience desirable.  Prior ADP Workforce Now experience preferred.

Skills & Knowledge Required

ADP database experience strongly preferred or other HRIS/payroll systems; Highly developed office clerical skills, database management skills, and proficiency with MSOffice software required, with experience using this software to generate reports and/or presentations; Must have substantial experience with and the ability to sustain attention to details, and independently, managing multiple tasks and responsibilities, and sometimes rapidly changing or conflicting priorities and expectations; Must work well in an environment that values diversity proofreading, time-management skills; Must be comfortable working with a sense of urgency under the pressure of occasional last minute deadlines; Excellent public professional image, oral presentation skills, customer service skills, and written communications skills required; Demonstrated ability to successfully work both collaboratively and inclusion; Knowledge of or experience with human resources procedures as well as familiarity and experience with the recruitment function and HR compliance; demonstrated understanding of the complexities of and the highly confidential nature of human resources work strongly preferred; Some purchasing experience desirable.

Physical Effort Required

While performing the duties of this job, the employee is regularly required to sit. The employee is frequently required to use hands to finger, handle or feel; reach with hands and arms; and talk, hear, and effectively communicate with others in person and in writing. The employee is required to be mobile. The employee must be able to occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include the ability to see others and read documents.  This job requires the employee to spend lengthy periods of time performing computer-assisted work.
