Financial Aid Administrator Level 2-FWS & State Grants Job Description

Job Summary

This full-time permanent, mid-level administrative union position reports to the Director of Financial Aid. The primary responsibilities are advising and counseling students on the availability of financial aid, the delivery process for receiving it, and the reconciliation process required to ensure that financial aid funds are disbursed accurately by Student Financial Services.

In addition, this position oversees all aspects of state grants (i.e., Mass State Grant, PT Grant, and ECE), the federal work study program, SEOG and tuition waivers including awarding, monitoring for changes and disbursements.  The FAA2 performs monthly reconciliation on all noted programs and provides weekly and monthly reporting to the Directors of Financial Aid and SFS.  This position maintains procedures for noted programs and ensures compliance with federal and state regulations.  Provides Controller’s office weekly disbursement reports.  Works with departments campus-wide on the recruitment, processing and supervision of FWS employees.  Ensure accurate onboarding documentation, orientation and timesheet approvals.  Provides training and administrative assistance to departments employing FWS employees.

Essential Duties/Responsibilities

  • Manages and processes state grants, federal work study, SEOG and tuition waivers from end-to-end as noted above.
  • Provides in depth advising to prospective and current students, parents, and related third parties on financing the cost of higher education and disseminate accurate information regarding the overall financial aid policies and procedures of the College.
  • Works with students on a personal basis regarding documentation and application deadlines in person, over the phone, and via MyCC email.
  • Intercedes for students with participating departments (i.e., school administrators, registrar, student navigators, admissions and campus coordinators).
  • Maintains, reviews, and processes established caseload of approximately 700 students, both graduate and undergraduate.
  • Reviews student applications and performs Federal Methodology need analysis to determine eligibility and award based on federal guidelines and the College’s policies.
  • Performs verification on students that have been flagged by the Department of Education.
  • Processes financial aid appeal requests using professional judgment and discretion.
  • Monitors and adjusts over awards, loan declinations and increases, book vouchers, and enrollment credit changes.
  • Monitors National Student Loan Data System (NSLDS) reporting activity and transfers.
  • Monitor Satisfactory Academic Progress following office procedures.
  • Reviews credit balance refund audits.
  • Works collaboratively with SFS frontline and provides back up support for other FA programs.

Other Duties/Responsibilities

  • Required to assist with specific college-wide events outside of normal work hours and days (i.e., orientation, prospective and new student events, commencement and the annual assembly).
  • Performs other related duties and/or special projects as required and/or assigned by the Director of Financial aid, Director of SFS and the Assistant Director of SFS.

  • Demonstrated comfort with using technology in an office setting including Microsoft Office, specifically Excel.
  • PowerFAIDS and Jenzabar experience preferred.
  • Evening hours may be required.

Education & Experience

  • Bachelor's Degree required.
  • Supervisor experience required.
  • 2-3 years of experience in higher education.
  • Financial Aid Administrator will complete the Massachusetts Association of Student Financial Aid Administrator’s five-week Financial Aid Core Training Course covering the Application Process, Cost of Attendance, Packaging, Satisfactory Academic Progress, Federal Methodology Need Analysis, Verification and the Federal Pell Grant within their first year of employment.

While performing the duties of this job, the employee is regularly required to sit. The employee is frequently required to use hands to finger, handle or feel; reach with hands and arms; and talk, hear, and effectively communicate with others in person and in writing. The employee is required to be mobile. The employee must be able to occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include the ability to see others and read documents. This job requires the employee to spend lengthy periods of time performing computer assisted work.
