Financial Aid Administrator Job Description

Job Summary

This full-time permanent, mid-level administrative union position reports to the Director of Financial Aid. The primary responsibilities are advising and counseling all full and part-time graduate students on the availability of financial aid, the delivery process for receiving it, and the reconciliation process required to insure that financial aid funds are disbursed accurately by Student Financial Services.

Essential Duties/Responsibilities

  • Provides in depth advising to students, parents, and related 3rd parties (with appropriate FERPA release on file- where applicable) to financing the cost of higher education, to facilitate appropriate financial aid award packaging and to disseminate accurate information to both current and prospective students regarding overall financial aid policies, processes, and procedures implemented and followed by the College,
  • Reviews student applications and performs Federal need analysis to determine eligibility and award based on Federal guidelines.
  • Monitors Satisfactory Academic Progress following office procedures.
  • Collaborates with the Technology and Compliance Manager to monitor assigned activity through Jenzabar and Powerfaids-
  • Monitors National Student Loan Data System (NSLDS) reporting activity and transfers.
  • Responsible for following Cambridge College based awarding guidelines.
  • Performs verification on students that have been flagged by the Department of Education.
  • Calculates Return to Title IV for withdrawing and LOA students.
  • Reviews refund requests.
  • Runs weekly reports to determine student status.
  • Processes financial aid appeal requests using professional judgment and discretion.
  • Works with students on a personal basis regarding pending documentation and application deadlines: in person, over the phone, and via MyCC email.
  • As requested, provides SFS Front desk coverage and support.
  • Front Desk coverage and support one night per week from 5pm to 6:30pm, or as needed.
  • Ability to treat all fellow employees, students and the College's guests with civility and to refrain from actions that disrupt the efficient functioning of the College.
  • Ability to follow directions and complete workload independently and accurately, accept supervisory input and constructive criticism.
  • Ability to manage stress and work under pressure while multitasking under deadlines.
  • High level of competency with Microsoft Word and Excel.
  • Demonstrated comfort with using technology in an office setting, PowerFaids and Jenzabar experience preferred.
  • Maintains, reviews, and processes established caseload of graduate and undergraduate population.

Other Duties/Responsibilities

  • Ability to treat all fellow employees, students and the College's guests with civility and to refrain from actions that disrupt the efficient functioning of the College.
  • Ability to follow directions and complete workload independently and accurately, accept supervisory input and constructive criticism.
  • Ability to manage stress and work under pressure while multitasking under deadlines.
  • Required to assist with specific college-wide events outside of normal work hours and days, i.e. commencement and annual assembly.
  • Evening hours may be required.
  • Performs other related duties and/or special projects as required and/or assigned by the Director of Financial aid, Director of SFS and the Assistant Director of SFS.
  • Knowledge of Federal and State financial aid regulations.
  • Working Knowledge of PowerFaids.
  • Must have ability to maintain strict confidentiality and discretion.
  • Ability to work independently, but also as a strong team member when the situation warrants.
  • Demonstrated strong business writing, internet research and project management/report writing skills.
  • High level of competency with Microsoft Word and Excel. Demonstrated comfort with using technology in an office setting, PowerFaids and Jenzabar experience preferred.
  • Ability to contribute to a positive college experience for each and every student.
  • Ability to independently manage multiple priorities and responsibilities.
  • Excellent communication skills, especially the ability to communicate effectively by phone and email.
  • Builds positive relationships with faculty and staff across all College departments, and shows a commitment to collegiality, mutual respect, supportiveness and inclusiveness. Acts in a fair, flexible, honest and ethical manner at all times.

Education & Experience

  • Bachelor's Degree required plus a minimum of 5 years of direct experience with packaging, verification, COD within a financial aid office setting.
  • Knowledge of Federal and State financial aid regulations.
  • Must have ability to maintain strict confidentiality and discretion.
  • Ability to work independently, but also as a strong team member when the situation warrants.
  • Working Knowledge of PowerFaids.

Physical Effort Required

While performing the duties of this job, the employee is regularly required to sit. The employee is frequently required to use hands to finger, handle or feel; reach with hands and arms; and talk, hear, and effectively communicate with others in person and in writing. The employee is required to be mobile. The employee must be able to occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include the ability to see others and read documents. This job requires the employee to spend lengthy periods of time performing computer assisted work.
