Job Summary

Reporting to the Vice President of Innovation and Strategic Initiatives, the Director of Institutional Research and Analytics is a key member of the College’s Strategic Enrollment Management Team. The Director will oversee the College’s Research, Planning and Effectiveness office and be responsible for managing institutional reporting and data analysis needed to effectuate the College’s Strategic Plan and Strategic Enrollment Plan. The Director will also be responsible for ensuring that the College complies with various federal, state and accreditation reporting.

Leveraging institutional data in the College’s Customer Relationship System (CRM), Student Information System (SIS) and other data systems, the Director provides critical and trusted decision support to a broad range of administrative planning and decision-making efforts. The Director will assist in building sophisticated metrics, strategies and predictive analytics to support the institution in reaching projected enrollment goals as well as analyze key touch points through students’ engagement from initial inquiry to beyond graduation. The Director will lead the utilization strategy and management of the CRM and is fully responsible for all data inputs and data outputs utilized in the College’s enrollment activities. For instance data needed to track Return on Investment for marketing efforts, enrollment counselor out-reach efforts, etc to determine the correct marketing mix and enrollment efforts. Responsibilities shall include but are not limited to providing reporting, training, support and overall improvement within the CRM system.

Ensuring maximized use of the CRM and SIS, the Director will also work closely with the Assistant Vice President of Enrollment and the Office of Marketing, Communications & Public Relations on campaign development and tracking of enrollment driving initiatives. The Director performs and directs statistical analysis of College student lifecycle data to generate custom business reports. She/he creates data visualizations and dashboards to illustrate patterns and trends with various College data and works collaboratively across College areas to support strategic initiatives.

The Director must demonstrate an ability to work independently as well as collaboratively with team members, faculty, students, alumni, administrators and staff and serves as a liaison between internal departments such as enrollment, marketing and institutional research.

This position is responsible for a comprehensive workflow across units associated with the enrollment process with a commitment to superior internal and external communications and ongoing efficiencies and effectiveness. The Director will ensure the reporting of student data from various campus departments and vendors, run weekly enrollment reports, train end users, and implement new initiatives related to operations and technology. The Director will develop and maintain appropriate quality control for accurate delivery of business operations including consistent written protocols and processes.

Essential Duties

  • Direct the activities of the Research, Planning and Effectiveness office.
  • Prepare and manage institutional data to identify, analyze, and present trends related to enrollment, retention, graduation, demographics, student outcomes and other measures as needed.
  • Establish data systems to support strategic planning and strategic decision-making across the College.
  • Establish methods and systems for data retrieval, modeling and analysis.
  • Provide support for the establishment of accountability measures and key performance indicators.
  • Interpret research findings and use appropriate methods to report such findings, with particular emphasis on findings that influence institutional decision-making and policy development.
  • Develop, prepare and deliver multimedia presentations; disseminate regular trend reports to the college community.
  • Provide data, research, and analysis for accreditation studies and compliance.
  • Completes and supports formal and ad-hoc data requests; and utilizes statistical methods
  • Provide data that assists in the development and evaluation of institutional grants and contracts.
  • Work closely with the Office of Student Information Systems on technical issues involving institutional research data collection, storage, backup and archiving as well as on issues concerning data accuracy and access.
  • Monitor data integrity and oversee the development and maintenance of up-to-date and accurate information databases to support demographic, enrollment, strategic planning, special programs, and institutional performance research, processes, and decisions.
  • Responsible for the strategy development, day to day direction and operation of the Customer Relationship Management system (JRM), to include:
    • Ensuring that all third party licenses are maintained in conformity with the licensing agreement with Jenzabar.
    • Submitting help desk tickets on behalf of Cambridge College to Jenzabar and third party vendors (Demand Tools, Form Assembly, Target X, Informatica).
    • Monitor and provide direction on the scheduling of upgrades, fixes and patches to JRM in coordination with SIS and IT.
    • Develop and maintain queries and work flow rules in JRM.
    • In consultation with the Vice President of Innovation and Strategic Initiatives review project proposals to determine costs, timeline, funding, staffing requirements and goals.
    • Assign all licenses to end users.
  • Assists the Associate Vice President of Enrollment in efforts to evaluate and develop new initiatives to grow the College’s enrollment.
  • Develop functional strategies and specific objectives for the College’s Strategic Enrollment Plan in coordination with the Office of Marketing, Communications & Public Relations.
  • Develop and manage in consultation with the Vice President of Innovation and Strategic Initiatives and the Vice President of Marketing and Communication ongoing management reports; (e.g. Pay Per Click reports, Inquiry Source Report) to optimize user response/engagement and health of candidate inquiry list.
  • In coordination with the Vice President of Marketing and Communication, Vice President for Innovation and Strategic Initiatives and the Associate Vice President of Enrollment Develop customer segmentation and audience targeting strategies.
  • Represent the College in local and regional research and planning groups; keep abreast of developments in the areas of higher education, business intelligence and reporting requirements.
  • Maintain membership for the institution in organizations related to institutional research, such as North East Association of Institutional Research and/or Association for Institutional Research.


  • Knowledge and understanding of key concepts in higher education
  • In depth understanding of higher education enrollment processes
  • Progressive experience and demonstrated ability in database management, research, and analysis in enrollment (admissions, registration, etc.)
  • Demonstrated success with the execution and management of student records and technology information systems. (Salesforce and Jenzabar EX preferred)
  • Must be an intermediate/advanced user of Microsoft Excel, Word and PowerPoint
  • Must have experience with survey software
  • Excellent analytical, problem-solving, project planning and implementation skills, as well as consulting, relationship building, and strategic thinking skills.
  • Demonstrated ability to design, produce, track, analyze and interpret statistical data for enrollment.
  • Strong belief in collaborative efforts within the enrollment management team and with other administrative and faculty areas.

Education Requirements

Master’s Degree required.  5 years progressive managerial experience.

Physical Effort Required

The candidate is required to be mobile and occasionally lift and/or move to 40-50 pounds.
