Assistant Director of Business Operations (Springfield, MA) Job Description

Job Summary 

Reporting to the Vice President of Innovation and Strategic Initiatives, this full-time, mid-level management position is responsible for the operational oversight of the Campus. The Assistant Director of Business Operations will assist to ensure the delivery of high-quality administrative services, customer service to students, staff, faculty, potential partners, and guests consistent with the CC customer services standards, utilize college information systems such as Jenzabar, work with the VP on contract requirements with vendors, interface with the landlord, and serve as the point person for the VP on day to day operational matters. The successful candidate will oversee non-academic staff.  Some evening and weekend work may be required. The position is located at the Springfield, Massachusetts Regional Center.

Essential Duties and Responsibilities

Business Operations and Office Management

  • Assist the VP with the day-to-day administrative and operational oversight of the Center in support to the VP.
  • Supervise the non-academic staff
  • Collaborate with the VP in meeting budget management goals.
  • Serve as direct contact with all building, facilities, operational and administrative functions.
  • Implement the Emergency and Security Management, local protocols and procedures for the Regional Center.
  • Manage facilities and classroom space rental management and close coordination with the Office of Strategic Partnerships.
  • Act as liaison between Admissions, Registrar, Student Financial Services and Academic Affairs for students and faculty in the Springfield Regional Center.
  • Work with the VP and local authorities on Permits and Licenses to operate business.
  • Responsible for overseeing the Center’s United States Post Office Box.
  • Work with the VP and serve as the Regional Center liaison with vendors.
  • Assist and/or may be responsible for special projects as assigned by the VP.

Enrollment-Recruitment, Marketing & Orientation to New Students

  • Participate, as needed, during out-reach activities and events.
  • Participate during “Orientation Day” to new students. 
  • Provide and coordinate public visibility with Landlord:  installation of banners, advertising materials and external signage

Other Duties/Responsibilities

  • Ability to work collaboratively, cooperatively, and independently with all staff and the Center Director.
  • Provide excellent customer service to all students, faculty and vendors.
  • Other duties as assigned by the Vice President.

Education and Experience Required

  • Bachelor’s Degree required, in Business Administration or related field.
  • Minimum of 5 years’ experience in higher education.

Physical Effort Required

Minor lifting and carrying of equipment is required.
