Administrative Manager Job Description

Job Summary

Reporting to the Dean of Student Affairs, this role manages all clerical and scheduling aspects of the Dean’s office, conducts initial intake for student meetings, concerns, and career questions as well as manages programming of the Office of Student Affairs (OSA). This role requires regular afternoon and evening hours (e.g. 10:00 to 6:00 pm, Monday through Friday), with occasional morning and weekend hours.

Essential Duties/Responsibilities

  • Manage operational and office support for the Dean.
  • Manage and prioritize administrative calendar for the Dean.
  • Manage electronic and paper filing for the Dean.
  • Maintain student meetings and appointments for the Dean.
  • Manage Student Affairs emails and calendars, including the Dean’s calendar, Student Affairs group calendar, student meetings/walk-ins calendar, and departmental events calendar.
  • Screen and Assist with students who have complaints or concerns and refer to appropriate leaders. Facilitate the complaint reporting process. Track data related to complaint location, topic, resolution, and timing.
  • Assist with departmental event scheduling, advertising, refreshment purchases, and coordination of set-up/clean-up.
  • Assist with data tracking, management, and reporting of student support services.
  • Assist the Dean in providing support services to regional locations for students
  • Work with regional directors to ensure student initiatives have necessary support for OSA
  • Support the Dean with special projects and initiatives that impact student success

 Other Duties/Responsibilities

  • Participate in Commencement ceremonies and student orientations, workshops, and events.
  • Other duties as assigned.

Education and Experience Required

Bachelor’s degree required; some advanced education preferred; minimum of 3 years’ experience in a senior level administrative position, ideally in higher education preferred as well as administrative and office managerial experience required. Candidates must have 2 years related experience.

Skills and Knowledge Required

  • Must have thorough knowledge of the principles of office management and strong written, verbal, and communication skills. Successful candidates must be flexible, outgoing, friendly, and organized.
  • Must have demonstrated interpersonal and organizational skills in prioritizing, multi-tasking, and working effectively with a group in a fast-paced environment with excellent follow through abilities.
  • Ability to exercise judgment and discretion in the application and interpretation of policies and procedures.
  • Computer literacy and experience working with Microsoft office, Microsoft Outlook and data entry.
