Development Associate Institutional Advancement [Posted December 18, 2012]
POSITION SUMMARY: The Development Associate will be a new position providing support to the daily operations of the Cambridge College Office of Institutional Advancement in all aspects of the development and stewardship of relationships with internal staff and funders. The position will support the grants function, including researching funding opportunities; assisting with tracking, reviewing, and submitting grant proposals and reports to ensure the overall communication, accuracy and timeliness of all proposals and related tasks; tracking and reporting on proposal status; and tracking the management of grants received. The Associate will also help manage donor stewardship, including preparing and mailing correspondence, arranging meetings, and assisting with stewardship events. The successful Development Associate exhibits superior attention to detail while working at a fast paced and lively environment, as well as professionalism throughout daily interactions and communications with internal staff, corporation/foundation/government funders, and other donors. DUTIES AND RESPONSIBILITIES: - Assisting and supporting the preparation, review and submission of grant proposals including foundation, corporate, and governmental.
- Researching funding opportunities and potential funders for College priority areas.
- Researching and preparing profiles for meetings with foundation, corporation, and governmental representatives; assisting with meeting logistics.
- Staying current with funding websites for changes and/or notifications of competitions and awards or new grant opportunities, as well as researching pertinent legislation at local, state, and federal levels that may create or impact relevant grant competitions.
- Keeping current with requirements for grant submissions as stated by the foundations guidelines and/or RFP, including grants.gov and other electronic filing systems, as well as state/federal forms and processes.
- Maintaining Raisers Edge entries for all proposal related tasks, including actions related to meetings, proposal development, letters of inquiry, and reporting.
- Assisting with developing proposal budgets in collaboration with Institutional Advancement, Finance, and other College staff.
- Supporting the stewardship and grants management function, including completion and submission of grant reports, written notification and acknowledgement of awards received, and assistance in planning donor recognition events.
- Processing and creating multiple reports on proposal submission and grant award data, as well as other reports as needed.
- Assisting with gathering research, data, and other support materials for concept paper, case statement, and proposal development.
- Maintaining hard copy grant files, ensuring parallel hard copy and electronic files, and accessing information as needed.
- Coordinating, submitting and tracking state charitable solicitation filings.
GENERAL RESPONSIBILITIES: - Required to assist with specific college-wide events outside of normal work hours and days, e.g. commencement, and community events as a representative of the Office of Institutional Advancement.
- Other duties and administrative support as assigned.
QUALIFICATIONS: - Exceptional attention to detail and accuracy.
- Demonstrated written, verbal, and interpersonal skills.
- Proven ability to work independently and as part of a team in a fast-paced environment.
- Strong ability to prioritize tasks and work under pressure while multitasking under deadlines.
- Experience with all phases of proposal development work including research, cultivation, submission and stewardship.
- Demonstrated proficiency in Excel, Word and Raisers Edge.
- Demonstrated initiative.
- Ability to handle sensitive and confidential information appropriately.
EXPERIENCE: - Bachelors Degree
- Minimum of two years related experience in a development office
