ADMINISTRATIVE ASSISTANT OFFICE OF THE COLLEGE PRESIDENT [Posted October 9, 2009]
POSITION SUMMARY: This position provides support to the President and assists in the day-to-day operations of the Presidents Office. This person provides assistance to the President for his professional functions such as: office maintenance, answering phones, email, faxing, filing, assembling mailings, appointments, and organizing travel.
DUTIES AND RESPONSIBILITIES: -Supports the activities of the Presidents Office, including, but not limited to: correspondence, scheduling appointments/meetings, calendar, taking minutes, memos, reports, contracts and making travel reservations.
-Answers incoming calls to the Office of the President and maintains detailed and accurate records of all messages and requests.
-Assists in all day to day support functions for the Office of the President including office organization and procedures, maintaining office supplies, records, files, and documentation.
-Assists with event planning on behalf of the Office of the President.
-Assists with internal and external communications, including distribution of correspondence and reports, as well as the assembly and organization of all related attachments and materials.
-Works closely with the President and the Executive Assistant to the President to aid and support in the daily operations of the Presidents Office.
-Performs a variety of duties and other tasks as required that assist in the daily support of the Presidents professional obligations.
QUALIFICATIONS: Bachelors degree preferred; Two years experience working in a related position; Ability to work in a fast paced environment; Must be able to multi-task; Ability to effectively manage records, correspondence, and scheduling of activities; Excellent attention to detail; Excellent written, oral, and interpersonal skills; Experience and technical proficiency with Windows applications (i.e. Microsoft Word, Excel, and PowerPoint); Ability to maintain a high degree of confidentiality with sensitive information; Demonstrated ability to work well as part of a team and to support the work of others.
